Kingswood FC Social Media Policy and Procedures

In accordance with the FAI Child Welfare & Safeguarding Policy

1. Purpose

This Social Media Policy sets out the standards and procedures for the use of social media by all members, players, parents/guardians, coaches, and volunteers associated with Kingswood FC.
Its aim is to ensure that social media is used in a safe, respectful, and positive way that upholds the reputation of the club, protects children, and complies with FAI and legal requirements.

2. Scope

This policy applies to all online activity, including but not limited to:

  • Facebook, Instagram, TikTok, X (Twitter), Snapchat
  • WhatsApp, Messenger, or other group chat apps
  • Club websites and newsletters
  • Video platforms (e.g., YouTube)
  • Any online communication or post related to the club, its members, or matches

3. Policy Statement

Kingswood FC recognises that social media is a useful tool for communication and promotion, but it must be used responsibly.
We are committed to:

  • Protecting children and young people from online abuse, bullying, or exploitation
  • Promoting positive communication and sportsmanship online
  • Protecting the privacy and reputation of all members
  • Ensuring compliance with the FAI's Child Welfare & Safeguarding Policies and Data Protection laws (GDPR)

4. Key Principles

  1. The welfare of the child is paramount — any online content must respect the safety, privacy, and dignity of children.
  2. Respect and courtesy — all online communication must be respectful, truthful, and free from harassment, criticism, or abuse.
  3. Transparency — official club accounts must be managed by designated adults (never children) and approved by the club committee.
  4. Protection of images — no identifiable images of children should be posted without prior written parental/guardian consent.
  5. No private messaging with children — coaches or volunteers must not communicate privately with players under 18 on social media or messaging apps.

5. Procedures

A. Club Accounts

  • All official social media accounts (Facebook, Instagram, etc.) are to be managed by authorised adult administrators appointed by the committee.
  • Passwords must be held securely by at least two club officers (e.g., PRO and Child Welfare Officer).
  • All content must promote the club's values of respect, inclusion, and teamwork.

B. Posting Guidelines

  • Obtain written parental consent before posting any photo or video featuring a child.
  • Children's names or identifying details (e.g., school, address) should never appear with their photo.
  • Group photos should be preferred over individual ones.
  • No tagging of children's personal accounts.
  • Offensive, discriminatory, or inflammatory content will result in disciplinary action.

C. Private Messaging

  • Coaches and team officials must not engage in one-to-one private messaging with underage players.
  • Team communication must go through:
    • A parent/guardian group chat, or
    • An FAI-approved platform with transparency (e.g. ClubZap, Spond).

D. Parental and Player Conduct

Parents/guardians and players are expected to:

  • Refrain from posting negative or critical comments about players, referees, coaches, or opposing teams.
  • Never share images or videos of children from training or matches on personal pages without consent.
  • Report any concerns about inappropriate online content to the Club Child Welfare Officer.

E. Misuse or Breach

If a breach of this policy occurs, the following steps will be taken:

  1. The incident will be reviewed by the Club Child Welfare Officer (CWO) and Designated Liaison Person (DLP).
  2. The issue may be referred to the FAI Child Welfare Department if appropriate.
  3. Disciplinary action may include warnings, suspension, or referral to authorities (in cases involving child protection concerns).

6. Responsibilities

  • Club Committee: Oversees the policy, appoints social media administrators.
  • Child Welfare Officer / DLP: Ensures safeguarding compliance and handles reports.
  • Coaches & Volunteers: Model appropriate behaviour and uphold this policy.
  • Parents/Guardians: Monitor their child's online behaviour and uphold respectful engagement.
  • Players: Represent the club positively and use social media responsibly.

7. Review and Approval

This policy will be reviewed every two years or sooner if changes occur in FAI policy or legislation.
